Recruitment Privacy Notice

How Binomium handles personal data in recruitment and its professional candidate database.

Last updated: 24 August 2026. This notice applies if you've applied for a role with us, or sent us your CV or professional profile directly for recruitment purposes.

1. Who we are

Binomium Ltd ("Binomium", "we", "us") is the data controller for personal data processed as part of our recruitment activities.

2. Personal data we collect

What we collect depends on the role and how you've interacted with us. It typically includes your name and contact details, your CV or résumé, your employment history, education, qualifications and skills, and anything you send us in an application, cover letter or other correspondence. If you're interviewed or assessed, we'll also hold information generated by that process, along with details of your availability and work preferences that help us match you to a role. Beyond that, we may hold other information you've chosen to share with us for recruitment purposes.

Please only send us information that's relevant to recruitment. In particular, don't include special-category personal data unless we've specifically asked for it, or it's necessary for a legally permitted recruitment purpose.

3. Why we process your information

We use recruitment data to receive, review and manage applications; assess whether someone is qualified and suited to a role; and communicate with candidates to arrange interviews or assessments. It also underpins our recruitment decisions, and lets us maintain a professional candidate database so we can consider people for future roles that reasonably match their experience and capabilities. Beyond that, we rely on this information to keep our recruitment systems secure and, where necessary, to meet our legal obligations or to establish, exercise or defend legal claims.

We don't use recruitment information for unrelated marketing, and we don't sell applicant or candidate personal data.

where we maintain and use a professional candidate database, identify candidates for future opportunities, administer recruitment operations, protect our systems, or manage recruitment-related claims. Our legitimate interest is to run an effective recruitment business and maintain a relevant professional talent network, and we balance that interest against the rights and interests of candidates.

where we specifically ask for your consent to a particular processing activity. You can withdraw consent at any time.

5. How long we keep recruitment data

Recruitment is an ongoing activity for us, and we maintain a professional candidate database as part of that.

Active recruitment process

We keep what's needed to manage your application and reach a recruitment decision. Once the process closes, we may hold on to relevant records for a reasonable period afterwards, in case we need them to answer queries, deal with a dispute, or establish, exercise or defend a legal claim.

Professional candidate database

CVs and professional profiles can stay on file for as long as we continue recruitment activities and the information is still relevant to that purpose. We periodically review what we're holding and will delete it, or stop using it, once it's no longer reasonably relevant, once the recruitment purpose has ended, or where a candidate's rights require us to.

You can ask us to delete your information, or object to processing based on legitimate interests, at any time by contacting info@binomium.mt. We'll assess each request against applicable data-protection law, though we may need to keep limited information for longer where the law requires it or it's necessary for legal claims.

6. Who has access to your information

Access to recruitment information is limited to authorised people who need it for recruitment, management, administration, IT, legal or compliance purposes.

Where necessary, we also work with service providers that support things like email, hosting, infrastructure, recruitment systems and other professional services. They may process personal data on our behalf, but only for the services they provide to us, and we put appropriate contractual and data-protection safeguards in place.

7. International transfers

Some of our service providers may process personal data outside Malta or the European Economic Area (EEA). Where that requires safeguards under data-protection law, we use an appropriate transfer mechanism, such as an adequacy decision, standard contractual clauses, or another lawful safeguard.

8. Automated decision-making and artificial intelligence

We sometimes use technology, including artificial intelligence, to help authorised staff with administrative or analytical tasks during recruitment. We don't make recruitment decisions with legal or similarly significant effects on a candidate solely through automated means, and a person is always involved in material recruitment decisions.

9. Security

We use appropriate technical and organisational measures designed to protect recruitment information against unauthorised access, disclosure, alteration, loss or destruction. Access is restricted according to business need, and our systems are managed with appropriate security controls.

10. Your data-protection rights

Subject to the conditions and exceptions in applicable law, you may have the right to:

  • request access to personal data we hold about you
  • request correction of inaccurate or incomplete personal data
  • request deletion of personal data
  • request restriction of processing
  • object to processing based on legitimate interests
  • receive certain personal data in a portable format, where the right to data portability applies
  • withdraw consent at any time, where a processing activity is based on consent

To exercise a right, or if you have a question about your personal data, contact info@binomium.mt. Withdrawing consent doesn't affect the lawfulness of processing carried out before the withdrawal.

11. Information needed to process an application

To assess an application, we need certain information, such as your identity, contact details, and enough detail about your experience and qualifications. If that information isn't provided, we may be unable to consider or progress your application.

12. Complaints

If you have a concern about how Binomium processes your personal data, please contact us first at info@binomium.mt so we can look into it. You also have the right to lodge a complaint with Malta's supervisory authority, the Office of the Information and Data Protection Commissioner (IDPC), or with another competent supervisory authority where applicable.

13. Changes to this notice

We may update this Recruitment Privacy Notice as our recruitment practices, technology, service providers or legal obligations change. The current version is always published on the Binomium website.
